- Maintaining meeting and appointment schedules.
- Preparing meeting papers and supporting documents.
- Carrying out general secretarial duties including taking down dictation, word processing, archiving, photocopying, faxing and day-to-day filing etc.
- Correspondence and follow-ups including self-correspondence, where necessary with Corporate Office, operating Divisions and associated companies on all administration and other matters of importance.
- Noting minutes of the meetings and to ensure minutes are completed accurately and in a timely manner.
- Attending to phone calls, clearing mail from the pigeon-hole and ensuring proper handling and distribution of the same.
- Maintaining confidentiality at all times, in accordance with the company policy.
- Updating E-Planner with up to-date information regarding tasks, appointments, meetings, document details of family members and villa staff, purchases etc.
- Online updation of Masters, OYC & cancellation of documents, TAAC updation of absenteeism record for IACSD, SOS & DPL, Michelin replenishment updation, allocation of manual document numbers, fuel slip updation, cost adjustments, raising of IPO & LPOs, transfer of outstanding invoices & job cards to the person taking over, Leave application distribution to auditors and after approval sending it to F&P & HRO.
- Audit IOM tracking and sending reminders.
